CLICK HERE to open a copy of the 2018 Officers Training Agenda in a new browser window. There will be training for each chapter officer position and training for key chapter committee lead/chair positions. There will be time spent talking about the history of the association and there will be emphasis on local education, growing membership, and on member and chapter capabilities that we now all have with the OATC website. Since this is immediately prior to our Convention there will not be an IRS or Oregon CE class offered during this one day training session.

The training will begin at 10:00 AM on Tuesday to allow some attendees to travel the morning of the session.  With the late start it is anticipated we will end by 6:00 PM.

  • For those who are not travelling the morning of the training, a block of rooms has been reserved for Monday night, June 18th, at an OATC discounted rate. The room rate is $125 plus ~ 9.8% tax for that night.
  • OATC will reimburse each attendee for one night’s lodging.  The per-person reimbursement is at ½ the room rate, ($125 plus ~ 9.8% tax divided by 2). If you can share a room, each person will get the half allocation and therefore OATC will pay the entire night lodging.  Please let us know if you want help arranging a roommate.
  • The reservation for Monday night is a separate reservation from the Convention registration.  Please let the hotel know you are reserving Monday night for the training on Tuesday.
  • For those Chapter Officer Training attendees who are also attending Wednesday meetings for Executive Committee and other state committee attendees, the Tuesday night lodging will be reimbursed by those committees. Talk with your committee treasurer regarding that reimbursement.
  • If you are attending the Tuesday Chapter Officer Training and you are attending Convention, but you are not attending Executive Council or Committee meetings on Wednesday, OATC will reimburse for a second night lodging (Tuesday night) providing your travel is greater than 100 miles one-way. Again at the same one-half allocation. ($125 plus ~ 9.8% tax divided by 2).
  • The Hood River Inn cut-off date for reservations is May 25th.  After that time rooms will no longer be available at the discounted rate.  14 rooms were secured for Monday evening with the OATC pricing.  As of today, several rooms remain available.
  • The one-half allocation, double occupancy rate is the rate that will be reimbursed by the OATC state central account, if attendees wish to upgrade to single occupancy room you will need to pay the difference.

As I stated earlier, rooms for the Monday evening only must be reserved under a separate reservation from the rooms reserved for the Convention.  If you are participating in Chapter Officer Training, make your room reservations for the Monday night only.  If you also will be attending the Convention you will need to make a second reservation for the remaining part of your stay.  At that time, depending on availability you may be able to stay in the room you had reserved for the Monday night (if that room type is still available), or can you choose to make a reservation for another kind of room.  Reservations are to be made no later than May 25th 2018.  After that date room rates will rise to the prevailing rate.

If all rooms that have been reserved for Monday evening become booked, I have also arranged overflow accommodations at a motel in The Dalles.

Please let me know directly if you have any difficulties in booking your room with the Hood River Inn for this training event

Travel and Other Reimbursements

The Association will pay a reimbursement of 50% of the current IRS rate per mile for round trip mileage. Alternate means of travel (air, bus, train, etc.) can be submitted in lieu of the mileage reimbursement under this policy, but not to exceed actual expenses.  All receipts must be attached.  The amount allowed is the lesser of the mileage/lodging allowance or the alternate actual expenses.
